MINUTES of the Meeting of the HILL SCHOOL SUB-COMMITTEE
held at The Guildhall, Church Street, Harwich
on Monday 10th September 2012 commencing at 6.15pm

H05/12 APOLOGIES FOR ABSENCE

H07/12 MINUTES OF LAST MEETING
RESOLVED that the minutes of the Hill School Sub Committee meeting held on 25th June 2012 (previously circulated) be approved by the Committee and signed by the Chairman as a true record.
H08/12 MATTERS ARISING FROM THE MINUTES
None
H09/12 MAGISTRATES COURT CLOSURE
Clerk updated members of urgent action taken so far and decisions made regarding footpath and ramp. Members were informed that the contractors had suggested additional lighting to be built into ramp to ensure that the area is adequately lit which would be an additional cost of £375 plus VAT.
RESOLVED: To updated F&GP Committee with decisions made and additional cost for appropriate lighting. The area of land crossing to HTC’s boundary was discussed and it was FURTHER RESOLVED: Clerk to review the boundaries of land owned by Harwich Town Council.
Emergency access to the site was discussed and members agreed that access was adequate and that a Fire Safety Risk assessment was not necessary.
H10/12 ROOF REPAIRS – BUILDING NO. 1
Members noted the letter received from Dovercourt Theatre Group and confirmed that HTC had exhausted all avenues under our insurance policy and that it was determined that the damage was not caused by storm damage, but general wear and tear which the tenants are responsible for.
RESOLVED: Clerk to advise Dovercourt Theatre Group to apply for a grant application for the portion of cost they feel unable to cover.
H11/12 OVERGROWN SHRUBS AND TREES CLOSE TO BOUNDARIES OF NEIGHBOURING PROPERTIES
Members discussed the shrubs and trees within HTC boundary in particular the area sited near to 6 Highfield Avenue.
RESOLVED: Clerk to obtain quotations for removal of tree and shrubs sited near the disabled toilets and review the trees situated in/near our boundary to clarify whose boundaries they sit within.

The next meeting of the Hill School Committee will be held on a date to be confirmed at The Guildhall, Church Street, Harwich.
