MINUTES of the Meeting of the GUILDHALL COMMITTEE held at The Guildhall,

Church Street, Harwich on Monday 19th November 2012 commencing at 10.00am

Present: Councillors Brown, and J Henderson

G19/12 APOLOGIES FOR ABSENCE

G20/12 DECLARATION OF MEMBERS’ INTERESTS
None

G21/12 MINUTES OF THE LAST MEETING
RESOLVED that the minutes of the Guildhall meeting held on 20th September 2012 (previously circulated) be approved by the Committee and signed by the Chairman as a true record.

G22/12 MATTERS ARISING FROM MINUTES
Clerk confirmed that the replacement Union and St Georges flags were ordered at a cost of £115 and have now been received.

G23/12 CONSIDERATION OF BUDGET FOR MUNICIPAL YEAR 2013/2014
The Chairman provided members with background information of the previous Guildhall budgets and expenditure to date.
RESOLVED TO RECOMMEND: Budget for the Municipal Year 2013/2014

General Fund £1000

Maintenance Reserve £1500 (plus transfer any under spend)

G24/12 MATTERS RECEIVED IN POST OR INFORMATION RAISED BY MEMBERS
Members were notified of the emergency repair work following a water leak at the Guildhall.

G25/12 CONSIDER REDECORATION OF OFFICE AND GAOL
Members discussed the current condition of the office and gaol and agreed that that the rooms were in need of redecoration.

G26/12 NEXT MEETING OF GUILDHALL COMMITTEE
The next meeting of the Guildhall Committee will be held on Wednesday 23rd January 2013 at The 1912 Centre, Cow Lane, Harwich at 7pm or at the rise of the Town Planning Committee, whichever is later.

G27/12 EXCLUSION OF THE PRESS AND PUBLIC
Pursuant to Sub-section 2 of Section 1 of the Public Bodies (Admission to Meetings) Act 1960 the meeting was closed to the press and public for the transaction of the under-mentioned business:

  • Discuss quotations received for redecoration of office and gaol

G28/12 DISCUSS QUOTATIONS RECEIVED FOR REDECORATION OF OFFICE AND GAOL
Members reviewed the three quotations received and the funding available to carry out the work.
RESOLVED: Clerk to proceed with instructing Willis and negotiate arrangements for the best time to commence work.
FURTHER RESOLVED: Spend to be financed from the maintenance reserve budget.
